Communications

• Identifying the audiences: The organization should identify the internal and external audiences to

convey crisis and organizational response information to. It should divide the audiences into appropriate

segments and communicate the required messages to each group.

• Communicating with audiences: These criteria should be taken into account in the crisis communica-

tions strategy:

• Communications should be timely and honest.

• Audiences should hear news directly from the organization before they hear it from any other source.

• Communications should provide objective and subjective assessments.

• All employees should be informed at approximately the same time.

• Audiences should have the opportunity to ask questions, if possible.

• The organization should provide regular updates and allow audiences to know when the next update

will be issued.

• Official spokesperson: The organization should employ a single spokesperson to manage and dissemi-

nate crisis communications to the media and others. The personnel should be trained in media relations

during a crisis.

Resource Management

The Human Element Organizations should devise a system by which all personnel can be accounted for after the onset of a crisis. They should arrange for crisis counseling as necessary and provide financial support to victims. The payroll system should remain functional throughout the crisis.

Logistics Logistical decisions made in advance impact the success and failure of a good BCP. Organizations must identify the primary crisis management center. This center is used for directing and overseeing crisis management activities. The organization should do the following:

• Set up alternate worksites during the recovery period.

• Examine the existing funding and insurance policies, and identify any additional funding and insurance.

• Establish critical vendor or service provider agreements, and maintain their contact information as part

of the BCP.

• Make mutual aid agreements with other organizations to borrow required resources during a crisis.

Recovery and Resumption

Organizations should assess the damages once the crisis management team is activated. This damage assessment

can be performed by the crisis management team or by a designated damage assessment team.

In the case of physical damage, the team is mobilized to the damaged site. The team makes an assessment

of the extent of the damage and the time for which the facility will be nonfunctional. In case of less concrete damage to the business and information technology, the assessment is made as the crisis unfolds.

Resumption of Critical and Remaining Processes

When the extent of damage is known, organizations should determine and document the schedule for resump-

tion. Prioritization should be based on the criticality of the process and other factors, including relationships to other processes, critical schedules, and regulatory requirements.

The resumption of the processes should be performed based on the prioritization schedule. The resump-

tions can take place at the alternate worksite. Organizations must make sure to document when the processes

were resumed.

Once the critical processes have been resumed, the resumption of the remaining processes can be addressed.
